Work Location and Structure : Otis Orchards office; Cottage Grove Office; hybrid remote and in office; or fully remote. May require additional in office time depending upon tasks, meetings, or other requirements.

Position Overview:

The Project Coordinator (PC), reporting to the Consulting Department Director (CDD), is integral to the operational efficiency of the consulting team. This position will support consulting project portfolio and pipeline management, optimize deployment of resources, ensure the project management platform is up to date, communicate project assignments, monitor project budgets, and forecast resource availability. Efficient project coordination will require support for the Consulting Department sales processes, implementing and leveraging the technology needed to streamline development and execution and maintenance of new and historic Statements of Work. 

In order to efficiently do this work, the PC will need to be the application expert in software utilized by the Consulting Department. This role is essential in implementation, continued development, adoption and maintenance of the tech stack needed to support the Consulting Department. Software utilized by the Consulting Department does overlay into other departments and there will be crossover support at times. The current tech stack is Teamwork.com and HubSpot but is subject to change to adapt to business needs.

Essential Functions:

Project Coordination and Support

  • Provide Administrative Support to Consulting Department Director (CDD).
  • Coordinate and communicate with project stakeholders and team members to assign client work.
  • Support project plan creation in Teamwork.com.
  • Facilitate wrap up meetings and notes with project teams as engagements come to a close.
  • Assist CDD in monitoring project progress, risks, issues, and budget, and report deviations and concerns.
  • Monitor Consulting Department employee workloads and keep allocations updated.
  • Work with CDD to facilitate smooth project assignment and balanced workload for Consulting Department Staff.

Champion Tech of Consulting Department

  • Deploy and configure software systems according to project plans and industry best practices.
  • Create and maintain documentation for software deployment, configuration and related processes.
  • Regularly evaluate software implementations, seeking ways to enhance efficiency and effectiveness.
  • Support staff as they adopt workflows necessary for their role.
  • Develop templates and reports to assist with efficient use of software.
  • Ensure compliance with software standards, policies, and procedures.
  • Support onboarding and orientation of Consultants to department’s tech stack.
  • Support staff adopting full tech stack into their workflows.
  • Evaluate and suggest tech stack improvements as opportunities arise in coordination with IT department

Support Sales Process

  • Perform other administrative and support tasks as assigned Support SOW and BAA process – development, maintenance, creation, and execution of SOWs.
  • Support transition of SOW and BAA process into Consulting Department tech stack.
  • Support Client Leads within selected Consulting Department tech stack for Sales Process
  • Ensure consistency of language used in sales process and client records
  • Organize and maintain client contract files

General

  • Communicate efficiently and effectively with Consulting Department team members
  • Embrace technology and automation to increase efficiency of systems and processes
  • Support and coordinate with other departments software
  • Maintain strict confidentiality of sensitive information

Required Competencies (knowledge, skills, abilities):

  • Detail-oriented, proactive, and collaborative, with the ability to work independently and as part of a team.
  • Ability to provide administrative support, including scheduling, note-taking, and managing workloads and allocations.
  • Ability to work collaboratively with team members and other departments, supporting and coordinating software-related tasks.
  • Excellent verbal and written communication skills, with the ability to communicate effectively with different levels of stakeholders.
  • Strong organizational, time management, and problem-solving skills, with the ability to prioritize and multitask in a fast-paced environment.

Required Education and Experience:

  • 3 years of experience in project management or project administration, preferably in a similar industry or domain.
  • Experience in a project/task tracking system required (i.e. Teamwork.com, Asana, Monday.com)
  • Healthcare Experience preferred
  • Bachelors Degree preferred

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer. 
  • Must be able to lift up to 15 pounds at times.
  • Able to travel as needed.
