Summary
The Facilities Manager oversees multiple functions of building operations and maintenance for all Port Jersey locations.
Responsibilities:
- Supervise and manage the maintenance, repair, and cleaning of the organization’s facilities.
- Develop and implement preventative maintenance programs to ensure the efficient operation of all equipment, HVAC and plumbing systems, electrical systems, and other building components.
- Monitor and control inventory of supplies and equipment needed for facility maintenance.
- Conduct regular inspections to identify potential issues and address them proactively.
- Maintain accurate records of maintenance activities, work orders, and repairs.
- Collaborate with other departments to ensure facilities meet operational needs and safety requirements.
- Oversee ground maintenance including snow removal and landscaping.
- Responsible for the fire system which includes weekly, monthly, quarterly, and yearly inspections of documentation, extinguishers, fire pumps, pump motors, flow testing, internal inspections, signage, cleanliness, etc. to ensure preparedness for emergency response on all fire system-related matters.
- Responsible for integrated pest management both inside and outside all locations.
- Identify and engage qualified vendors and contractors for various maintenance and repair services.
- Obtain multiple quotes for larger projects and negotiate pricing and terms.
- Maintain relationships with vendors and monitor their performance to ensure quality workmanship and adherence to deadlines.
- Collaborate with the Corporate Vice President to develop and ensure adherence to annual budgets for labor and materials.
- Identify opportunities for efficiency improvements and cost savings in facility operations and sanitation processes.
Direct Reports:
- Responsible for managing the maintenance/porter staff at all Port Jersey locations.
Qualifications:
- Education (preferred level): Bachelor's degree.
- Experience (minimum level of direct experience): A minimum of 4 years’ experience in a warehousing environment.
- Must possess excellent project management skills, including demonstrated ability to develop and manage a project plan, establish priorities, work to deadlines, and control several projects at various stages of work.
- Strong leadership skills to effectively manage and motivate a team and delegate tasks.
- Proficient in overseeing facility operations, including repairs, construction projects, budgets, and contracts.
- Ability to plan, prioritize, and execute complex projects on time and within budget.
- Skilled in negotiating contracts with vendors and service providers.
- Ability to identify and solve complex problems related to facilities operations.
- Contribute to the organization’s strategic goals by aligning facilities management with overall objectives.
- Must have experience with the operation of all warehouse equipment.
- Reliable transportation to travel between locations as required. Minimal overnight travel.
Physical Requirements:
- The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
- Must have the ability to lift and/or move office and warehouse supplies, receivable items, shipments and equipment and files ranging anywhere from 5 – 50 lbs,
- Fine hand manipulation – typing, writing, may assist with packaging of items.
- Must be able to place outbound calls and answer phones, talk/speak and listen coherently.
- Must be physically able to open filing cabinets and bend, stand, balance, stoop or twist as necessary.
- Vision abilities required by the job include close vision and distance vision.
- Ability to walk around the warehouse to gather information (frequent walking).
- Must be able to stand and sit for 8 hours.
- Must not have a fear of heights – required to get on a lift for inventory audits.
