Job Description
Position Summary:
Under the general supervision of the Chief Financial Officer, the Accounting Assistant's responsibilities include overall coordination, including scanning and filing accounts payable voucher packets and building reimbursement packets for contract billing. The Accounting Assistant also ensures all documentation is properly labeled and stored for funder and accounting audits
Essential Duties & Responsibilities include:
Prepare and scan documents for accounts payable and funding reimbursements.
Filing all documents related to accounts payable and funding reimbursements.
Prepares and packages supporting documentation for voucher packets and reimbursement packets.
Maintains checklist and tracking documentation to ensure accurate and complete voucher and reimbursement packets.
Maintains appropriate backup documents and analysis to reconcile billing statements.
Provides support with department projects according to department needs.
Other duties as assigned.
Qualifications:
An associate degree in accounting or a closely related field is preferred but is not required.
A general understanding of the contract reimbursement process.
Knowledge of using Microsoft Office products (Excel, Word, PowerPoint, and Google Workspace)
Analytical thinker.
Skills in both verbal and written communication with all levels of agency staff and funders.
Ability to consistently meet deadlines and demonstrate strong time management skills.
Good planning and organizational skills.
Ability to understand and adhere to regulatory requirements governing the functions of this position.
Ability to work under pressure and adjust to urgent situations.
Ability to be a forward thinker and problem solver.
Other Requirements
Reliable transportation.
Ability to navigate stairs, ladders, ramps, and uneven terrain.
Able to sit for extended periods.
Must become CPR/First Aid trained within 90 days of hire.
